Hair salon booking software: scope guide

In hair and beauty salons that work by appointment, the problem is usually a calendar kept in several places and work tied to a specialist that never reaches the record. This page uses the sample-data hair salon demo to gather which workflows and limits to settle before a project.

At a glance: is this software right for you?

  • It looks suitable for: single-site hair and beauty salons that work by appointment, keep a calendar per specialist and still keep the till and commission by hand.
  • The problem it tries to solve: two clients written in for the same specialist at the same time, a scattered booking notebook, and a till and commission worked out by hand.
  • It may not suit you if you need: several branches, automatic SMS reminders, online payment or deposits, e-invoicing or a cash-register link; none of these is in this example.

Common problems in a salon

  • Bookings scatter between the phone, WhatsApp and a notebook; two clients are written in for the same specialist at the same time.
  • The plan for the hours after a long service such as colouring or a treatment is kept in someone’s head.
  • A client’s note, such as a sensitive scalp or the dye to be used, stays outside the record.
  • The day’s till and each staff member’s commission are worked out by hand; services and product sales get mixed.
  • The sessions left on a treatment package are forgotten.

The flow in the sample demo

  1. On the business’s showcase page the client picks the service and the specialist, sees the day’s free times and sends a request.
  2. Depending on a setting, the booking is confirmed at once or waits for approval on the calendar; the client sees the result on their own booking link.
  3. A phone booking is added from the calendar and moved to another time if needed.
  4. The client card holds the note, history, balance and total paid; packages are sold from it too.
  5. The ticket carries services and products together, each line showing its staff member; payment and a printable receipt.
  6. The daily till (cash, card, transfer, expenses, net) and monthly commission per staff member.

What is specific to a hair salon

A calendar tied to the specialist

Every booking is tied to a service and a specialist; the same staff member cannot be booked twice for the same time. The calendar shows day, week and month views with a column per staff member.

Long services and several services in one booking

Whether a long service such as colouring or a treatment closes the following hours by itself is not promised as a confirmed feature; try it with sample records before commissioning. On a booking the customer makes on the internet, “Aynı randevuya bir hizmet daha ekle” (add another service) puts up to three extra services into one booking (minutes and prices are added up); a booking entered in the panel is a single service, and a frequent pairing can also be defined as a service of its own.

Packages and sessions

A package is sold from the client card; each visit uses up a session, and a package with no sessions left becomes “used” by itself.

Product sales and stock

A product sold on the ticket leaves the stock; a minimum level is set per product and the stock page warns about low items.

Staff commission

Each staff member has a commission percentage of their own, calculated only from service revenue. The staff screen shows the rate, this month’s revenue and commission.

Clients without an appointment

A simple waiting list keeps the arrival order, and the business chooses the staff member when taking someone in. It does not write to the calendar; there is no automatic assignment or wait-time prediction.

Is this software right for you?

It may suit

  • Women’s hair salons, beauty salons, nail and skin-care studios that work by appointment
  • Single-site salons with a few staff members who want to stop keeping the till and commission by hand
  • Businesses that also want to write down walk-ins and take them in order

Limits to know about

  • No multi-branch view; each branch is its own installation.
  • No SMS, no automatic sending of reminders, no online payment or deposit. A reminder message is prepared and a staff member sends it.
  • No e-invoicing or cash-register link; the receipt is an information slip.
  • Not delivered to a client and not through a sales acceptance; the public live demo runs on sample data only, and the screens come from that demo (version 1.1.6).

These use sample data and are not customer references. Price, installation, migration, hosting, maintenance and support are agreed separately in written scope.

What to prepare before we talk

  • The list of services you offer and roughly how long each takes, and whether a pairing such as “colour and blow-dry” should be written as a service of its own.
  • The list of your staff, which services each one performs and their working hours.
  • Where you keep bookings today (notebook, phone, messages) and in what form your client list exists.
  • How you work out the till and commission: which payment methods you take, which rate applies to whom and whether a product sale affects commission.
  • Whether you sell treatment packages or sessions and, if so, how you follow the sessions.

The hair salon product and its screens

The product page walks through the app’s real screens step by step; the delivery and sales status are written there too.

Hair Salon Booking and Business Tracking

Follow bookings in a calendar with a column per specialist. Send customers a booking link on WhatsApp and get a notification on your phone for each new booking.

Frequently asked questions

Does a phone booking sit in the same calendar?

Yes. A phone booking is added from the calendar: you pick the saved client, the staff member, the service and the time, and the program lists that staff member’s free times.

Do reminders go out to clients by themselves?

No. The reminder list opens a prepared WhatsApp message for confirmed bookings; a member of the salon sends it, and there is no automatic messaging service.

How does a walk-in client reach the till?

They are written on a simple waiting list that keeps the arrival order, and the business chooses the staff member when taking them in. When the job is done the service arrives on the ticket ready, and payment follows the same route as for a booked client.

Can I take it over right now as a ready-made package?

Not at the moment: the hair salon application has not been delivered to a client and has not passed a sales acceptance. Your needs and a possible route are discussed in a first conversation; the public demo runs on sample data only.
